Privacy policy

This policy explains what KOA Health Heroes collects when you visit koaheroes.ca or buy from us, why we collect it, who we share it with, and what you can ask us to do about it. KOA Health Heroes is a Canadian business run from Calgary, Alberta. We sell online only.

If anything here is unclear, email info@koaheroes.ca and a person will answer.

What we collect

When you visit the site. Your device and browser type, IP address, time zone, the pages and products you look at, what you search for, which site referred you, and how you move through the site. This is collected automatically using cookies and similar technologies.

When you order. Your name, billing and shipping address, email address, phone number, and the contents of your order. Payment card details are entered on Shopify's checkout and are handled by Shopify and its payment processors. We never see or store your full card number.

When you contact us. Whatever you choose to send us by email or through a form on the site, including a clinic or team quote request and any size sheet you share with us.

When you ask to be notified. If you sign up to hear when a sold-out colour is back, we store your email address and the product and colour you asked about, and tag your record so we know why you gave it to us.

When you leave a review. Reviews are collected and displayed by Judge.me, which stores the review text and the email address you submit it with.

We do not ask for, and do not want, any health information about you or your patients.

Why we collect it

To take payment, fulfil and ship your order, and handle returns.
To answer your questions and support you after a purchase.
To email you the one thing you asked for, when you asked for it — an order update, or a restock notice for a specific colour.
To understand how the site is used so we can make it work better.
To advertise, including showing KOA to people who have visited the site before.
To meet our legal and tax obligations.

Who we share it with

Shopify, which operates our store and checkout. Shopify's own privacy policy is at shopify.com/legal/privacy.

Payment processors and Shop Pay, to take payment.

Shipping carriers, to deliver your order.

Google, for analytics (Google Analytics 4), advertising (Google Ads), and product listings (Google Merchant Center).

Meta, for advertising on Facebook and Instagram.

TikTok, for advertising on TikTok.

Judge.me, which collects and displays product reviews.

Kiwi Sizing, which powers the size chart on product pages.

We also connect Shopify sales channels including Pinterest and Microsoft Copilot, which may receive product and browsing data.

We do not sell your personal information for money. Some sharing with advertising platforms may count as a "sale" or "sharing" under certain US state privacy laws, and you can opt out as described below.

Cookies, analytics and advertising

The site uses cookies to keep your cart working, to measure how the site is used, and to advertise.

You can clear or block cookies in your browser settings, though parts of the site may stop working properly if you block all of them.

To opt out of Google Analytics specifically, install Google's opt-out browser add-on at tools.google.com/dlpage/gaoptout.

To control ad personalisation, use Google's ad settings at myadcenter.google.com, Meta's ad preferences in your Facebook or Instagram account, and TikTok's settings in the TikTok app.

If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of targeted advertising where the law requires us to.

We only email you what you asked for. Order and shipping updates are transactional and go to everyone who orders. Marketing email is separate and requires you to opt in, and every marketing email has an unsubscribe link that works. If you signed up for a restock notice, that notice is the only thing we will send you unless you separately opt in to marketing.

How long we keep it

Order records are kept as long as Canadian tax and business record rules require, currently six years. Support emails are kept while they are useful and then deleted. Restock requests are deleted once the notice has been sent or the product is discontinued. You can ask us to delete anything sooner.

Your rights

If you are in Canada, you can ask us what personal information we hold about you, ask us to correct it, and ask us to delete it. Email info@koaheroes.ca and we will respond within 30 days.

If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca/en/report-a-concern.

If you are in the United States, your state may give you additional rights, including the right to know what we collect, to have it deleted, to correct it, and to opt out of targeted advertising or the sharing of your information. Email info@koaheroes.ca to exercise any of these. We will not treat you differently for asking.

Children

The site is not intended for children and we do not knowingly collect information from anyone under 16. If you believe a child has given us their information, email info@koaheroes.ca and we will delete it.

Changes

If we change how we handle your information we will update this page and change the date at the top.
